Secretary PD
Objective:
- To support the operations of the Committee.
- To be a custodian of club business records.
- To be the liaison with regulatory bodies.
Responsibilities:
Committee support:
- Support the business of the committee – circulate agendas, minutes, and committee notices
- Take minutes at Committee Meetings
- Monitor compliance of the committee with the law, the club rules/constitution, and internal policies
- Communication point for all formal disputes and grievances
Club records custodian:
- To collate and distribute all association and club contact details
- Maintain the membership register
- Maintain safe storage (for at least 7 years) of all books, documents, and securities of the Association. This excludes financial records for the financial year in progress (Treasurer responsibility) but includes all financial records from prior years that correctly record and explain the club’s; transactions, financial performance, and financial position.
- Subject to the limitations imposed by the Club Rules/Constitution, provide registered members with access to documents of the Association
Liaison with Regulatory bodies:
- Liaise and lodge documentation with regulatory, compliance, and governing bodies including Consumer Affairs Victoria
- Maintain accuracy of the Secretary’s provided postal address
- Ability to keep and maintain accurate records
- Strong administrative skills with the ability to correspond with stakeholders in a timely manner
- Ability to complete tasks using own initiative
- Understand the processes and procedures for Committee meetings and General meetings
- Know how to take meeting minutes and the information that is required by both the law and the Club Constitution/Rules
- Have an understanding of the Secretary’s legal requirements if the club is an incorporated body

This role has the following child safety and wellbeing requirements:
The person in this role must:
- undergo a child safety screening and referee checking process before commencing in their role
- undergo a short induction on the club’s child safety practices
- undergo child safety training appropriate for a Committee Member
- have the skills to be respectful to children and comply with the club’s child safety practices
- have a basic awareness of the diverse needs of children and how to create cultural safety.
This role has direct contact with children and has access to their information.
